ICELAND TRAVEL GUIDE CANCELLATION POLICY
All cancellation fees held by Iceland Travel Guide are designed to cover our direct costs associated with amending or canceling your reservation. By accessing, browsing, using, and/or completing a reservation through our (mobile) website at www.icelandtravelguide.is, you acknowledge and agree to have read, understood, and accepted the terms of the cancellation policy outlined below. A contractual agreement between the customer and Iceland Travel Guide will only come into existence upon receipt of full payment and the issuance of a confirmation invoice. The customer making the booking accepts these conditions on behalf of all members of their travel party and is responsible for the entire payment due from the party.
All communication related to these terms and conditions, especially requests to cancel or amend tour arrangements, must come from the lead traveler of each reservation and be processed through the My Adventures portal, where travelers can manage their bookings. In case the customer portal is inaccessible, all cancellations must be submitted in writing via the customer contact form and sent by the lead traveler. Any amendment or cancellation must be confirmed by Iceland Travel Guide before further action can be taken. If reimbursement is applicable, it will be processed promptly following established procedures, with the stipulated amount transferred to the same credit card used for the initial booking. Please note that we cannot be held responsible for delays in the delivery of reimbursement to your account once processed on our end. For tours purchased through another vendor, please contact the vendor directly for refund and/or cancellation requests. The cancellation policy applies to the original booking departure date for the tour.
CANCELLATION FEES & CHARGES
Changing the number of people in a booking to a smaller number is considered a cancellation for the change in the number of participants. Such cancellations are subject to fees as outlined below.
As we start incurring costs from the confirmation of the contract, cancellation charges will be applied as detailed below from the time when written notification of the cancellation is received:
CANCELLATIONS OR AMENDMENTS OF DAY TOURS
- More than 24 hours’ notice: Full refund*
- Less than 24 hours’ notice: No refund*
For all bookings of day tours operated by Iceland Travel Guide (or any of its sub-brands), a minimum of 24 hours’ notice of cancellation or amendment prior to your scheduled tour departure is required for a full refund. Cancellations made with less than 24 hours’ notice prior to departure will not be refunded. The 24-hour policy applies only if cancellations are made and delivered through the My Adventures portal. If the customer portal is inaccessible, all cancellations must be submitted in writing via the customer contact form and sent by the lead traveler.
Extras and rental gear booked as part of a day tour fall under the terms stated above.
Please note that this policy only applies to tours operated by Iceland Travel Guide. Tours operated by trusted partners are subject to the operator’s cancellation policy.
CANCELLATIONS OR AMENDMENTS OF MULTI-DAY, SELF-DRIVE, GROUP & TREKKING TOURS
- More than 14 days’ notice: 100% refund
- Less than 14 days’ notice: 50% refund*
- Less than 48 hours’ notice: No refund
Cancellations or amendments with more than 14 days’ notice before trip departure will result in a 100% refund of the total tour price. With less than 14 days’ notice, a 50% refund will be issued, as this represents the direct cost of canceling any arrangements made for your tour. No refund will be given for cancellations or amendments made with less than 48 hours’ notice, as Iceland Travel Guide will incur all associated costs such as guides, transport, etc.
Extras and rental gear booked as part of a multi-day tour fall under the terms as stated above.
Self-Drive tours are not eligible for partial cancellations of included activities and/or passenger count. Complete cancellations follow the terms mentioned above.
CANCELLATIONS OR AMENDMENTS OF PRIVATE & CUSTOMIZED TOURS
Cancellations of Private & Customized Day Tours (Individuals and Group Bookings)
- More than 72 hours’ notice: 90% refund
- Less than 72 hours’ notice: No refund
Cancellations or amendments of Private, Group & Customized Day Tours (Individuals and Group Bookings) made with more than 72 hours’ notice will result in a 90% refund of the total tour price. With less than 72 hours’ notice, no refund will be given, as Iceland Travel Guide will be charged for all costs such as guides, transport, etc.
Cancellations or amendments of Private & Customized Multi-Day Tours (Individual bookings, 1-9 participants)
- More than 14 days’ notice: 75% refund
- Less than 14 days’ notice: 50% refund*
- Less than 72 hours’ notice: No refund
Cancellations or amendments of Private & Customized Multi-day Tours (Individual bookings of 1-9 participants) made with more than 14 days’ notice will result in a 75% refund. Less than 14 days’ notice will result in a 50% refund, and less than 72 hours’ notice will not be refunded.
CANCELLATIONS OR AMENDMENTS OF PRIVATE & CUSTOMIZED TOURS
Cancellations or amendments of Private & Customized Multi-Day Tours (Group bookings, 10+ participants)
- More than 8 weeks’ notice: 90% refund
- Less than 8 weeks’ notice: 50% refund*
- Less than 4 weeks’ notice: No refund
Cancellations or amendments of Private & Customized Multi-day Tours (Group bookings, 10+ participants) with more than 8 weeks’ notice will result in a 90% refund. Less than 8 weeks’ notice will result in a 50% refund, and less than 4 weeks’ notice will not be refunded, as Iceland Travel Guide will be charged for all costs such as guides, transport, accommodation, etc.
Cancellations or amendments of Airplane & Helicopter Tours
- More than 72 hours’ notice: 90% refund
- Less than 72 hours’ notice: 50% refund
- Less than 48 hours’ notice: No refund
Cancellations or amendments made with more than 72 hours’ notice will result in a 90% refund. Less than 72 hours’ notice will result in a 50% refund, and less than 48 hours’ notice will not be refunded, as Iceland Travel Guide will be charged for all costs such as guides, transport, etc.
Please ensure all necessary details are filled in and/or provided upon booking your adventure tour/s. After completing the booking process, a confirmation will be sent, containing your booking number and vouchers for the services booked. The voucher serves as proof of payment; please bring it with you on the day of your tour. Verify all details on your confirmation and related travel documents carefully to ensure accuracy. In the event of a discrepancy, contact Iceland Travel Guide immediately, as amendments may not be possible closer to your departure date. Iceland Travel Guide is not responsible for mistakes in the booking process.
